Finding a venue that suits you can take up a lot of time, especially if you have a restricted budget. We have found that these points are important in getting you the best available deal:
You should plan events during non-busy seasons and days. Consider Mondays, Friday and weekends which can offer a better price. Peak seasons are more expensive and you may run into the risk of having inadequate staff or time to plan and hold your meeting. Make sure you thoroughly plan everything clearly, which can help the staff work out a more accurate plan. The more details you ask the more you can try to bargain for extras or rates. When planning multiple events, make sure you follow this at the enquiry stage.
Most times meeting spaces do not charge, knowing that they get enough revenue from drinks and meals from the event. When it comes to rooms that are free, watch out for hidden charges such as overnight fees or security deliveries. Make sure that all negotiations and concessions are written down so that later confusion and frustrations can be settled easily. Make sure you are familiar with what you are talking about and research about the venue before you call. When calling, you should be familiar enough with the venue and be comfortable enough ask for specific rooms for your event. If you know more about the venue, the staff may assume that you have experience in the venue and will give you a better deal with the rates.
Want to save on your hotel expenses? Join their frequent guest schemes. Send the venue how much you are willing to spend, and let them crunch the numbers - they should be able to put a deal together for you. After you come to an initial agreement, you can start talking to them in a language that they understand. What's your rack rate? Where did you get this deal from? Even if you are not a regular patron, asking the right questions may net you more leisure with your stay, which includes added benefits such as an express check in service.
Things that can negotiated, for example, include bedrooms. Upgrades, a new view, higher class rooms or a better positioned room closer to the elevator. To cut costs, try asking for a simpler meal instead of more costly buffets. More breaks can be asked for as well, as well as substituting drinks for something of your own preference. It never hurts to ask, and you'll never get a better deal out of the kindness of a venue's heart. If you show interest in a particular venue, they will try their best to accommodate your needs.
